7.3.4 Staff Induction

SCOPE OF THIS CHAPTER

This chapter is for new members of staff, when commencing in post and how they should be given immediate and appropriate information and care to enable them to feel, welcomed, 'part of the team', familiar with their surroundings and have a basic understanding about 'who' and 'where' to go for assistance.

POLICY STATEMENT

The staff induction policy is aligned with all other policies which set out the framework for staff training and development, collectively named, 'A learning Organisation' (LO) The Centre ethos is one which promotes a welcoming and positive learning environment in which all staff feel valued.

1. Specific Induction Period

By the end of the specific induction period (four weeks) the new member of staff should:

  • Understand the Centre/service area aims and ethos.
  • Be familiar with the building and room layout
  • Understand the fire/ incident evacuation procedure
  • Know which Policies and other relevant documentation is available and where to locate them.
  • Have read the Centre, Health & Safety, Child Protection, Learning organisation and service area policies.
  • Have been introduced to staff, children and parents (the latter may be through a photograph and brief profile on notice board)
  • Have begun to be familiar with staff roles and responsibilities
  • Have some knowledge of Catchment area
  • Have some knowledge of other significant agencies and people who are involved with the Centre
  • Have had a supervision session with line manager. See Staff Supervision Procedure


2. Line Manager Tasks/Responsibilities

The Line Manager should arrange a structured meeting at which the following should take place:

(In some cases two meetings may need to take place close together)

  • Establish initial expectations, managers and new staff members
  • Discuss role in Centre
  • Share information regarding start/finish times & diary dates
  • Establish supervision contract
  • Familiarisation of Policies and LO procedures
  • Arrangements for ID and security badge  and photograph for notice board
  • Arrangements for further meetings to identify learning needs and appraisal objectives
  • Arrangements for visits and meetings with key personnel
  • Discussion of Centre ethos and aims
  • Give and receive initial feedback 'first impressions'
  • Provide information regarding membership of a Union
  • Explain data protection procedures

The Line Manager should ensure that on the staff member's first day someone is allocated to greet them and show them where to keep personal belongings, how to access security doors and where their main area of work will be situated. Introduce to staff members.

A Centre 'walk through' should be organised and explain the use of rooms, room booking system and fire and evacuation procedure.

New staff should be familiarised with:

  • Office equipment and telephone system
  • Administrative support

If the new member of staff need a desk the Line Manager should ensure that it is ready for them to use and free of any clutter.

The Line Manager should ensure that the new member of staff are provided with a training portfolio and personal file and all relevant policies.

The Line Manager should ensure that the new member of staff emergency contact numbers is given to office staff.

The Line Manager should facilitate a tour of the Catchment area and visits to other agencies, organisation and individuals who deal with the Centre.

New members of staff should be introduced to children, parents, etc.


3. New Members of Staff Tasks/Responsibilities

A new member of staff should:

  1. Use and organise time effectively
  2. Begin to reflect upon own learning needs and objectives
  3. Ensure efficient use of diary
  4. Undertake data protection tutorial
  5. Ask questions
  6. Ensure that all relevant information is provided as listed in Section 2, Line Manager Tasks/Responsibilities
